How to Scan Receipts Directly to Google Drive from Your Phone

InvoDrive allows you to scan physical receipts using your phone and save them directly into the correct supplier folder in Google Drive. No need to email, upload, or organize manually — just scan and it’s done.

What You’ll Need Before You Start:

  • Google Drive mobile app (for Android or iOS)

  • An active InvoDrive setup that already created folders by Year > Month > Supplier

Step 1: Open the Google Drive App

  • Make sure you’re signed in with the same Google account connected to InvoDrive

  • Navigate to the InvoDrive folder

  • Select the correct year, month, and supplier folder where you want to save the receipt

Step 2: Tap the “+” Button and Select “Scan”

  • Tap the plus (+) icon

  • Choose “Scan”

  • Use your phone’s camera to capture the receipt

  • You can scan multiple pages into the same PDF if needed

Step 3: Save the File

  • Tap “Save”

  • The receipt will be saved immediately inside the folder you selected

  • No need to move or rename anything – it’s already where it belongs

Why This Is Useful:

  • Perfect for on-the-go expenses (fuel, parking, small purchases)

  • No more emailing yourself photos

  • Keeps everything in sync with your Gmail receipts – fully organized

Receipts scanned manually will appear right alongside the ones InvoDrive pulls from your inbox – all in the same clean structure.

Dashboard: Print Topics List

This screen lets you handle receipt emails that don’t have an attachment or link, but are still important – like confirmation emails from services such as Apple, Bird, Lime, Facebook, etc. When the subject of an email matches one of the terms in this list, InvoDrive will generate a PDF

Dashboard: Excluded Topics List

What are excluded topics and why use them? In InvoDrive, not all emails contain receipts or invoices. Some emails might be quotes, reminders, or general correspondence. You can prevent such emails from being scanned and saved by adding specific words or phrases to your Excluded Topics List. How it works:

Dashboard: Managing Your Search Terms

In InvoDrive, your Search Terms List determines how the system identifies invoice-related emails in your Gmail inbox. You have full control over this list – add, edit, or remove keywords to improve the accuracy of the scanning. What is it for? InvoDrive automatically scans your Gmail inbox looking for emails

Dashboard: Supplier Management

How InvoDrive detects supplier names By default, InvoDrive creates folders based on the supplier name found inside the invoice document. If no clear name is found, it falls back to the email sender’s name. This page allows you to define your own custom folder name per email address – for full
